SUMMATION LOAD FILE SUBMISSION REQUIREMENTS

Each submission should have a volume number associated with it. On the root of the media, please include a top-level folder named for the volume. The folder naming scheme should be 2 to 3 letters (indicating your company) followed by 3 numbers (e.g. ABC001).

Load files should not contain more than 50,000 - 80,000 records each, per volume.

Under the folder for each volume, the production should be organized in 3 or 4 subfolders:

  1. DOCLINK (which contains native files)
  2. IMAGES (may contain subfolders, with no more than 5,000 image files per folder)
  3. FULLTEXT*
  4. LOADFILES (should contain Metadata, DII, LST*, Custodian Append)

* Extracted/OCR text files may be included with their corresponding TIFFs in the IMAGES folder, if the DII is formatted to load both images and text (@FULLTEXT DOC). If the text files are segregated in a FULLTEXT folder, a control list must be provided to facilitate loading.

The cover letter for each submission must provide information about the load files included on each external hard drive (or CD/DVD) submitted, preferably in spreadsheet format (see Sample Cover Letter Spreadsheet).

A. For each piece of media:

  1. Assign a unique identifier that is also readily apparent on the physical piece of media (i.e. the production number, though the volume or serial number may also be acceptable); and
  2. Identify the volumes being submitted on the piece of media.

B. For each volume:

  1. List the custodians included in the production;
  2. List the number of records for each custodian;
  3. List the total number of records;
  4. List the Bates number ranges (and any gaps therein) for each custodian;
  5. List the number of native files for each custodian;
  6. List the total number of native files;
  7. List the total number of images for each custodian; and
  8. List the total number of images.
