Kingston ACTIVITY REPORT OFFICE OF TRUST RECORDS March 1-31,2010 PROGRAMMATIC: • Indexing OTR staff completed indexing of697 boxes in March 2010. The total number of boxes completed through March 2010 is approximately 199,935. • Movement ofRecords The Bureau ofIndian Affairs (BIA) and Office ofthe Special Trustee (OST) moved 1,179 boxes ofinactive records from various field locations to Lenexa, Kansas, for indexing and subsequent storage at the American Indian Records Repository (AIRR) during this reporting period. • Boxes Requiring Remediation As reported in the previous report to the Court, the Acting Superintendent, BIA Rosebud Agency, informed OTR that eight ledger books and four cubic feet of records at the Agency have mold and require remediation. The Agency is initiating procurement ofremediation services. • Site Assessments Statement During the month ofMarch, the Office ofTrust Review and Audit (OTRA) performed four records management assessments, one each at the following locations: Truxton Canon Agency BIA office; Truxton Canon OST 11M field office; Uintah & Ouray Agency BIA office; and Uintah & Ouray OST 11M field office. OTRA issued two records management assessment reports, one each for the following locations: Eastern Navajo Agency BIA office; and Eastern Navajo Agency OST 11M field office. OTRA performed one investigative records review at and issued a report for the Office ofAppraisal Services, Western Region. • Records Training In March 2010, OTR provided records management training for 76 BIAlOST records contacts and 8 tribal employees. OTR did not provide training on vital records for this month. OTR provided electronic records management training for 291 BIAlOST employees and 7 tribal employees. 1 • Litigation Support and Research Requests OTR continued to provide significant support to the Office ofthe Solicitor, Office ofHistorical Trust Accounting and its contractors, and the Department ofJustice and its contractors. OTR continued to receive requests for information regarding litigation-related document requests. Many ofthese requests have very short deadlines. During March 2010, OTR AIRR staffprovided responses to 296 non-litigation research requests from BIA and OST. ADMINISTRATIVE: General administrative activities continued. GENERAL OBSERVATIONS: None.
