Kingston ACTIVITY REPORT OFFICE OF TRUST RECORDS July 1-31, 2009 PROGRAMMATIC: Indexing OTR staff completed indexing of 523 boxes in July 2009.The total number of boxes completed through July 2009 is approximately 193,418. Movement of Records The Bureau of Indian Affairs (BIA) and Office of the Special Trustee (OST) moved 2,235 boxes of inactive records from various field locations to Lenexa, Kansas, for indexing and subsequent storage at the American Indian Records Repository (AIRR) during this reporting period. Site Assessments Statement During the month of July, OTRA performed four follow-up records assessments, one each at the following locations: Puget Sound Agency BIA office; Puget Sound Agency OST IIM field office; Spokane Agency BIA office; and Spokane Agency OST IIM field office. OTRA issued seven follow-up records assessment reports, one each at the following locations: Spokane Agency BIA office; Spokane Agency OST IIM field office; Northern Idaho Agency BIA office; Northern Idaho Agency OST IIM field office; Colville Agency BIA office; Colville Agency OST IIM field office; and Puget Sound Agency OST IIM field office. In the June report, OTRA inadvertently reported information for the quarter, rather than the month, ending June 30, 2009, in the Records Site Assessment section. However, information for June was included in the June Statement.The OTRA section for June should have read as follows: During the month of June, OTRA performed four follow-up records assessments, one each at the following locations: Colville Agency BIA office; Colville Agency OST IIM field office; Northern Idaho Agency BIA office; and Northern Idaho Agency OST IIM field office. OTRA issued two records management assessment reports, one each at the following locations: NBC/OST Office of Appraisal Services, Navajo Region; and Santee OST IIM field office. OTRA issued three follow-up records assessment reports, one each at the following locations: Winnebago Agency BIA office; Winnebago Agency OST IIM field office; and Navajo Region OST IIM field office. Records Training In July 2009, OTR provided records management training for 20 BIA/OST records contacts and nine Tribal employees. OTR provided training on vital records for four BIA/OST employees and five Tribal employees. OTR held its second annual records management conference, which was attended by 169 federal and Tribal employees. ¯ Litigation Support and Research Requests OTR continued to provide significant support to the Office of the Solicitor, Office of Historical Trust Accounting and its contractors, the Department of Justice and its contractors, and tribal attorneys and their contractors. OTR continued to receive requests for information regarding litigation-related document requests. Many of these requests have very short deadlines. During July 2009, OTR AIRR staff provided responses to 146 non-litigation research requests from BIA, OST and other requesters. ADMINISTRATIVE: General administrative activities continued.
